Every year, somewhere around the second week of December, I get the same text message from three or four different families: "Is there any way you could squeeze us in? We still need our card photo." And every year I have to give the same honest answer — not because I don't want the work, but because the calendar has already run out. Between the session itself, editing, your ordering time, and the printer's production and shipping queue, a holiday card is a five-week project that most people start as a two-week one.
This guide is the timeline I wish every family had in front of them in September. It walks backward from the day you actually want cards in mailboxes, through print deadlines, ordering, gallery delivery, and the session date itself — plus what happens in Snohomish County specifically, where our daylight collapses fast and the weather gets a vote. The Short Answer: Book by Mid-October
If you want holiday cards in mailboxes by the first week of December — which is when most people actually send them — your photo session should happen between late September and the third week of October. That is the honest deadline. Book in that window and everything downstream has slack in it: your gallery arrives with time to choose, you can order without paying rush shipping, and a rain reschedule doesn't blow up the whole plan.
Book in November and it still works, but the margin disappears. You will be choosing your favorite image in an evening rather than a weekend, ordering with expedited shipping, and hoping the one dry Saturday on the forecast holds. Book in December and you are no longer making a holiday card — you are making a New Year card, which is a perfectly good thing to make, just not the thing you asked for.
The Full Timeline, Working Backward
Here is the same answer with the arithmetic shown. Start from the date you want cards to arrive and count back:
Cards arrive — first week of December. This is the target. Cards that land after about December 15 compete with everyone's travel plans and get looked at half as long.
Minus 5 to 10 days — shipping. Standard shipping from the major print houses runs about a week in December, and that estimate is optimistic once the carriers are saturated. Rush shipping exists, but it costs more than the cards.
Minus 3 to 7 days — printing and production. Most consumer print services quote three to five business days, and every one of them slows down as December approaches. If you want letterpress, foil, or anything with a specialty finish, double it.
Minus 3 to 7 days — you choose and order. This is the step everyone underestimates. You will get your gallery, love four images, disagree with your partner about two of them, ask your mother, change your mind, then finally sit down and lay out the card. Give yourself a week and you will actually enjoy it.
Minus 7 days — gallery delivery. Your edited images land in a private online gallery within one week of the session. Mini sessions come back with ten edited photos; full family sessions come back with fifty to a hundred and fifty depending on the collection you choose.
That puts your session in mid-October. Add a one-week buffer for a weather reschedule — which in the Pacific Northwest is not pessimism, it is planning — and late September to mid-October is your window.
Why October Is the Sweet Spot in Snohomish County
The timeline is one argument for October. The light is the other, and locally it is the stronger one. Our bigleaf and vine maples hit peak color through mid-to-late October, which means an October session gives you genuine autumn backdrop without anyone having to stand in the cold. By the second week of November most of that colour is on the ground and the trees behind you are bare.
Daylight is the harder constraint. In early October the sun sets around 6:30 PM here; by the first week of November it is closer to 4:30 PM. That is two hours of shooting window gone in a month. Golden hour does not move to accommodate school pickup, and a 4:15 PM start in November means half the families I work with cannot get everyone there in time. October afternoons still leave room for a session after school and before dinner. Mini Session or Full Session?
For a card, a mini session is usually the right call. Thirty minutes, ten edited photos, $350, delivered within a week. A card needs one great frame — maybe two if you are doing a photo collage on the back — and thirty focused minutes reliably produces that. Minis run on set days at a set location, which is exactly why they are efficient.
Choose a full family session instead when the card is not really the point. If extended family is flying in, if you want multiple locations, if there are grandparents you want photographed individually as well as together, or if you want a set of images for the wall rather than one for the envelope, book the longer session. One thing worth saying plainly: a group of twelve does not fit in a thirty-minute mini. If your holiday plan involves the whole extended family, book the longer session. Trying to compress it costs you the photos you actually wanted.
What to Do If You've Already Missed the Window
Say it is November 20 and you are reading this with a sinking feeling. You still have options, and none of them are bad.
Order digital-first. Several print services offer same-day digital cards, or you can send a beautiful email card and mail the printed one in January. Nobody has ever thought less of a family for this.
Send a New Year card instead. Genuinely underrated. It arrives in a week when nothing else is competing for attention, everyone actually reads it, and you get to use a photo taken in the calm after the holidays rather than the scramble before them.

Take the winter session. A December session at a tree farm or on a frosty waterfront produces a genuinely different, genuinely lovely set of images. You are not sending a card this year — you are getting photos you will actually print.
Booking Checklist
Before you pick a date, have these four things settled. It takes ten minutes and saves the whole timeline.
Know who is coming. Headcount decides mini versus full session, and it is the single most common thing that changes after booking.
Check your people's calendars first, not just yours. If a grandparent is flying in, their travel dates set your session date, not the other way around.
Pick your card service before the session. Knowing whether your card is landscape, portrait, or square changes how we frame — and whether we leave space for text. This one genuinely improves the photos.
